Emergency Procedure for Electrical Shut Down Procedure

 

The following is the procedure you are to follow when we must close down electrical devices due to severe weather. You are never to implement this on your own; only under my direction or Daisy’s (in my absence). Should a weather emergency develop when both Daisy and I are away from the building—chances are one of us will be in contact with the crew that is working or we have already left directions prior to our absences.

 

This is a lengthy and serious procedure. Should the contact need to assign duties off of this list, the duties are not to be assigned to part-time personnel or pages. Again, ask questions if something is unclear—please do not assume.

 

The building is divided into four areas of responsibility:

Adult Section, Reference Dept., Children’s Dept., and SAILS equipment in The Big Room.

 

*********All equipment plugged into an outlet must be unplugged from the wall outlet. All equipment plugged into a telephone jack or an Internet jack must be unplugged from the jack. You can unplug all cords directly from the wall or from the equipment itself. The main point is to break the electrical or phone connection from the equipment. If your equipment is plugged into a surge protector, you need only unplug the surge protector from the wall. REMEMBER Almost all of the PCs have multiple hookups—an electrical outlet plug, a modem outlet plug, a printer plug. All must be unplugged from the power source.

 

REFERENCE DEPARTMENT:

Ginny is the contact and must see to it that the following equipment is unplugged from the electrical or phone outlet :

  • 1. The two SAILS PAC terminals
  • 2. The two INFOTRAC machines
  • 3. The phone
  • 4. The copy machine
  • 5. The word processor
  • 6. The typewriter
  • 7. The PC behind the reference desk
  • 8. The internet PC
  • 9. All printers plugged directly into the wall
  • 10. Any other electrical devices, the scanner, modems, clocks, adding machine, fans

 

CHILDREN’S DEPARTMENT

Kate is the contact and must see to it that the following equipment is unplugged from the electrical or phone outlet :

 

  • 1. The two SAILS PAC terminals.
  • 2. The two PCs at the circ desk
  • 3. The printer.
  • 4. The phone.
  • 5. The copy machine
  • 6. The typewriter
  • 7. The microwave, coffee machine, toaster oven. Leave the Fridge ON.
  • 8. Any other electrical devices, modems, clocks, adding machines, fans.

 

ADULT SECTION:

 

INDIVIDUAL OFFICES

Each of you in this section is responsible for your own office. I will take care of your office if you are not here and the emergency is immediate. When we are planning for an emergency, a hurricane, blizzard—you are expected to shut down electrically in anticipation of the emergency. For ex. A blizzard with power outages is expected very late Thursday night, you are leaving 5 p.m. Thursday, you shut down then—don’t leave it for an 8 p.m. crewmember. You are responsible for :

 

Special to the staff in The Big Room:

Carolyn is responsible for the SAILS PC, printer modem and the FAX machine.

Mike is responsible for his PC, the INTERNET PC, and the rest of the stuff in his area.

Debbie is responsible for her word processor and the Telephone.

No one from this room needs to worry about all the SAILS equipment—the cords and pch panel—that’s my responsibility

 

PAC Room, Reserve Room, Circ Desk

Helen is the contact for these areas and must see to it that the following equipment is unplugged from its electrical and phone outlet:

 

  • 1. The PCs at the main desk, their modems, their printer
  • 2. The front desk phone
  • 3. The SAILS PAC terminal in front
  • 4. The Internet PC in the front, its modem and printer
  • 5. The 4 PC PAC terminals in the PAC room
  • 6. The Friends’ PC
  • 7. The Copy Machine
  • 8. The phone in the reserve room
  • 9. Any other electrical devices, clocks, fans, typewriters.

 

The SAILS Equipment in the Acquisitions room will be shut down by the director. I also will have trained other staff. I want to deal with as few people as possible and so I will be working with only the contact people and Judy from each department. Staff that belong to specific departments will work with their contact person—their department head. I also do not want everyone on the staff to be running around double checking each other—BE, and STAY, responsible for your own Assignment. If your only responsibility is your office—good you’re lucky. If you are asked to help with the PAC room in addition to your office, fine.

 

Remember, Double check what you are responsible for but don’t panic. Everything can be replaced—I just don’t want to replace every thing!!! Follow your checklist. You should make a photocopy of your own particular section and then check off each item as you unplug. When we have specific emergencies to face, I will have the procedure more specified according to the crew that will be leaving the building last and the staff that might not be around and will need offices assigned to someone else.

 

In the event that we have prepared for an over night emergency, WPEP 1570 on your AM radio dial…will carry announcements about what is closed the next day. The Mayor’s office does not call me when he decides to call off city services, I have to listen to the radio too—so you may hear we are closed before you get a grapevine call—but you will be called.

 

And remember, everything that was unplugged—must be plugged back IN the next day of work—so you really should keep your checklist to backtrack.
